What to prepare before a website rebuild
Gather your content and account access, and list your current pages before design begins.
Give each item a person and a due date
List the content, images and account access the project needs. Assign a person and due date to each item, then identify anything that could prevent a page from being designed or the website from launching.
Agree on the project schedule after reviewing those dependencies. Update the schedule when required material or approvals are delayed.
Gather company and service information
Document the services the company offers and the property types it manages. Name the areas it serves. Include service limits, approved fee information and any response standards the company is prepared to publish.
Collect the names and roles of people featured on the site, with their approved biographies. Notes and bullet points are sufficient for the first content review; the facts need to be accurate before copy is written.
Collect approved brand assets and images
Provide the original logo files and brand colours. Add any existing style guidance. Gather images the company has permission to publish, including team, office and property photos where relevant.
Use original image files rather than copies downloaded from social media. Tell the design team if new photography is planned or if the site needs to work with a limited image set.

Create an account and URL inventory
Identify who controls the domain registrar and DNS, and who controls the hosting account. Do the same for analytics and search console. Arrange access through the agreed account invitation or secure sharing process.
Get current portal, vacancy and application URLs from the property management platform. Confirm where inquiries should be delivered and who will check that delivery before launch. Keep credentials out of general intake forms.
Name one person to approve the work
Choose a person who can collect feedback from the company and return one agreed response for each review round.
Define what each review covers and record approvals. If a request changes the agreed scope, update the plan before the additional work begins.
Map the existing pages
List the current website URLs and identify pages with search traffic, incoming links or information that should be retained. Record which content needs revision.
Map old URLs to their new destinations and document any pages that will be removed. Review the redirect plan before launch and check it after the new website is live.
