How to plan owner inquiry pages

What property owners need to know about your services, and how to structure the inquiry form.

Separate the three visitor groups

Property owners need management information. Renters need available homes and application instructions. Current residents need account access and maintenance contacts. Give each group a labelled navigation link. We build these three links into every website.

Keep management service pages separate from listings and resident resources. Each page then answers one set of questions, and visitors do not search through unrelated information.

The properties and areas you serve

List the property types you manage and the areas you cover. Say if you limit the size or type of portfolio you accept. Include exclusions when they would help an owner decide whether to contact you.

Name the service areas directly. If you publish a page for one market, write information specific to that location. Do not copy another market’s page and change the city name.

How management works

Describe leasing, screening, rent collection, inspections and maintenance coordination. Say how your company handles each one, and publish only the standards your team already meets.

Explain who an owner contacts, how reports are delivered and how maintenance approvals work. Include fee information if your company has approved it for publication.

Information you can verify

Use accurate team biographies and approved property images. Every client testimonial or statistic on the page needs a source and the client's permission.

Remove placeholder claims before launch. If an image or example is illustrative, label it so a visitor can distinguish it from client work.

Keep the inquiry form specific

Ask for the contact details and property information needed for an initial review. A name, email address, property location, property type and message may be enough. Mark optional fields.

Use visible labels, validate submissions on the server and place each error beside its field. Show confirmation only after the submission succeeds. Check that the message reaches the agreed recipient before launch.

Measure owner inquiries separately

Count owner inquiries apart from rental applications and portal visits. The combined traffic total does not show which visitor group completed a task.

Review inquiry counts alongside the office’s follow up records. Check failed submissions and broken links as well as completed inquiries. Use the consent and privacy settings agreed for the website.
